PROJECT OVERVIEW


Air On Temp Pty Ltd is a commercial HVAC installation contractor in Hawkesbury and Greater Sydney, New South Wales, specialising in refrigeration pipework and VRV and VRF systems.

NK Collective produced a coordinated 25 page document set covering a seven page capability statement, a five page Work Health and Safety policy, an eleven page Safe Work Method Statement and a two page toolbox talk record.






WHAT WE DELIVERED


The business focused component included a professionally designed capability statement covering Air On Temp’s company overview, director profile, project experience, industry sectors, core capabilities and key reasons clients choose the business.

Rather than relying on generic company profile wording, the content was structured around the type of information prospective commercial clients and contractors need when assessing an HVAC provider.


This included experience across commercial fit outs, multi residential developments, education facilities, industrial projects, retrofit works and mechanical services.

The capability statement also positioned Air On Temp around quality workmanship,

efficient project delivery, safety, strong communication and specialist experience in refrigeration pipework and VRV and VRF systems.


The WHS component expanded significantly further.

NK Collective developed a five page Work Health & Safety Policy covering purpose and values, policy commitments, responsibilities, consultation and communication, risk management, incident reporting, training and competency, continuous improvement,

director endorsement and document control.


A separate Toolbox Talk Record was created to provide a practical site based record for dates, locations, supervisors, topics, discussion notes, hazards, control measures,

actions and attendance.

The largest component was an extensive 11 page Safe Work Method Statement developed specifically around Air On Temp’s HVAC and refrigeration activities.






THE APPROACH


The challenge with this project was not simply fitting information onto pages. The documents covered different audiences and completely different purposes.

A Capability Statement needs to be persuasive, professional and easy for a prospective client to scan.


A WHS Policy needs to establish responsibilities, expectations and safety processes clearly.


A Safe Work Method Statement needs to go much deeper, presenting project information, competencies, PPE requirements, hazards, risk levels, control measures, emergency procedures and worker acknowledgement without becoming difficult to follow.

For Air On Temp’s Safe Work Method Statement, NK Collective created a structured visual hierarchy using consistent navy headers, bright blue accents, tables, icons, callout panels and colour coded risk ratings.


Early sections establish company and project information before moving into equipment, personal protective equipment and competency requirements.

A dedicated risk assessment section provides a likelihood and consequence matrix alongside Low, Medium, High and Extreme risk definitions and the hierarchy of controls.

The document then moves into activity specific safe work procedures and hazard controls.

FREQUENTLY ASKED QUESTIONS


What documents does an HVAC contractor need for prequalification?

Most principal contractors ask for a capability statement, a Work Health and Safety policy, Safe Work Method Statements covering the high risk activities involved, and a toolbox talk record to evidence site communication. Air On Temp received all four as one coordinated set totalling 25 pages.


What is a SWMS and when is one required?

A Safe Work Method Statement sets out the high risk construction work being carried out, the hazards involved, the control measures used and how those controls are monitored. In New South Wales a SWMS is required before high risk construction work starts. The Air On Temp SWMS was prepared in line with the SafeWork NSW Code of Practice and covers working at heights, electrical work, refrigerant handling, hot works and brazing, manual handling and the use of ladders and elevated work platforms.


What goes in a capability statement for a trade business?

A company overview, who leads the business, the services offered, project experience, quality and safety approach, and contact details. The Air On Temp capability statement runs to seven pages and includes licence numbers, the systems the business works with and the industries it operates in.


How long does a full document set take to produce?
