Developing a coordinated suite of branded WHS, risk and site documentation for Prime Contractors to support shop strip out and make good works, workforce records and CM3 documentation requirements.

PROJECT OVERVIEW
Building a practical documentation system for site safety, risk management and contractor requirements.
Prime Contractors required a coordinated set of workplace health and safety documents for shop strip out and make good projects involving employees, subcontractors, supervisors and site based works.
Rather than producing individual forms in isolation, NK Collective developed a broader documentation suite designed to work together across the life of a project from initial planning and risk assessment through to site induction, training, PPE monitoring, hot works and ongoing documentation review.
The documentation needed to capture a significant amount of operational information while remaining practical enough to actually use on site. Documents included tables, checklists, risk ratings, acknowledgement fields, approval sections, signatures, document control information and project-specific requirements.
The suite was also required to support Prime Contractors' CM3 documentation process, with a dedicated checklist created to help track key documentation such as WHS policies, Safe Work Method Statements, risk assessments, inductions, hot works permits, training records and PPE inspection forms.
A consistent visual system was developed around Prime Contractors' existing navy, white and gold branding, ensuring the documents looked like part of one professional business system rather than a collection of unrelated templates.
WHAT WE DELIVERED
A complete set of project-ready WHS and operational documentation.
The project developed into a substantial suite of branded documentation covering multiple stages of site operations.
A CM3 Documentation Checklist was created to provide a central record of required documentation, page counts, verification status, signatures, preparation, review and approval information. This gave the business a straightforward way to see what documentation was available and what still required action.
A WHS Policy and Procedure established the business' overall approach to health and safety, including purpose, scope, policy commitments, responsibilities and document review requirements.
For project-specific risk management, NK Collective developed both a detailed Risk Assessment and Safe Work Method Statement (SWMS). These covered activities associated with shop strip-out and make-good works, including manual handling, power tools, dust, debris, electrical hazards, hot works, suspended ceiling removal, wall removal and floor covering removal.
Supporting documents were then developed around the practical operation of those controls, including:

Documentation review and sign-off fields
Document numbering, effective dates, review dates and approval controls
Together, the documents created a connected system rather than a single safety form.
THE APPROACH
Designing documents that could carry detailed safety information without becoming difficult to use.
A major consideration throughout the project was usability.
Safety and operational documents can contain large amounts of information, particularly where hazards, controls, responsibilities, approval requirements and monitoring records all need to be documented. If that information is presented poorly, the document may technically contain everything required by the client but still be frustrating to use in practice.
NK Collective therefore developed a repeated document structure across the suite.
Dark navy section headings make each part of the documents easy to identify. Gold is used as a secondary brand colour for table headers, dividers and key elements, while white space prevents the documents from becoming visually overwhelming.
Risk-based documents use colour coded ratings to make information easier to interpret at a glance. PPE requirements are supported by clear visual icons, while forms requiring completion use structured fields, checkboxes and dedicated signature areas.
The SWMS was organised into distinct sections covering scope, responsibilities, hazards and controls, work methods, PPE, plant and equipment, emergency procedures, environmental considerations and consultation/sign off.
The risk assessment separately provides a structured record of hazards, potential consequences, likelihood, risk ratings, control measures, residual risk and responsibilities.
By separating each purpose into its own document while keeping the visual system consistent, Prime Contractors could maintain detailed documentation without forcing every operational requirement into a single oversized form.
THE OUTCOME
A cohesive documentation suite that Prime Contractors can use across project preparation, site activity and document review.
The completed project provided Prime Contractors with much more than a series of visually matching templates.
The documents now form a practical system covering the progression of a project from preparation through to workforce communication, operational controls and ongoing monitoring.
The CM3 checklist provides an overall documentation view. The WHS policy establishes the broader safety framework. The SWMS and risk assessment document project hazards and control measures. Induction and training records support workforce communication, while the PPE monitoring forms and Hot Works Permit support specific activities and ongoing site controls.
Document control information was also incorporated consistently throughout the suite, including document numbers, effective dates, review dates and approval fields. This helps ensure that individual forms can be identified and managed as part of the wider documentation system.
Visually, the finished documents also present Prime Contractors as a more established and organised business. Although compliance documentation is primarily functional, presentation still matters when documents are being supplied to clients, principal contractors, prequalification platforms or other external stakeholders.
The project demonstrates NK Collective's ability to work with complex, information-heavy business documentation where layout has to support the content rather than simply make it look attractive.
It also shows the breadth of NK Collective's business document work: combining document structure, written content, branding, forms, tables, operational information and user friendly formatting within one consistent document family.
For Prime Contractors, the result was a professional suite of WHS and project documentation that could be used together rather than a collection of disconnected files created at different stages of the business.
